Step 1: Determine the date(s) and time frame(s) you will
need a projector.
Step 2: Look in the calendar (in Outlook under
Public Folders | Computer Data Projectors) under the wing, or building
room, that you will be in at the time you will need a
projector.
Step 3: If the projector is not in use during the time
you will need it, simply “open” an appointment by
double-clicking on the beginning date(s) you will need it,
enter your name in the “subject” field, enter the room(s)
you will be using the projector in, and then save the
appointment. You are done. You will look on the calendar to
see who last had the projector that you will need and where
it was; this is where you go to retrieve the data projector
for your use.
Step 4: After your calendar “appointment” time has
expired leave the projector at that location for the next
user to find. You DO NOT have to relocate the projector back
to where you got it from except for “permanent” locations
which will be explained later.
Step 5: If the projector for that wing is in use during
ANY part of the time that you will need it use the calendar
to look in an adjacent wing or a wing within that building.
Once you have located one within your floor or building
follow Step 3.
Step 6: Once your calendar “appointment” time has expired
return the data projector back to the wing you borrowed it
from, noting on the calendar the room you returned the
projector back to.
** IMPORTANT **
The above steps detail the protocol everyone is prompted
to use. If you have unique needs from time to time that were
not covered, please collaborate with those in your wing, on
your floor, in your building to resolve those situations.
Any further conflict should be directed to your department
heads and school heads. If at that point there is still an
issue we will all collaborate and provide a solution.
NOTE A: If you use a projector from a “permanent”
location YOU MUST RETURN IT TO THAT LOCATION as soon as your
calendar “appointment” time has expired (or as soon as
possible). Permanent locations where determined by permanent
Smart Board locations and special situation such as the
Board Room and F004-Lecture Hall. IF YOU ARE IN A ROOM WITH
A “PERMANENT” DATA PROJECTOR you still need to enter the time(s) you will actually be using the projector since they
are allowed to float.
NOTE B: If you need to use multiple projectors use the
calendars to check availability; once done, contact IS for
verification. If your request for multiple projectors
extends beyond your building (the building you will be using
them in) contact IS for physical verification and set up
support once you have checked availability beforehand.
NOTE C: “Permanent” locations can be used (thanks to
agreements from faculty involved) but MUST BE RETURNED AS
SOON AS POSSIBLE once calendar time(s) has expired.
NOTE D: If a projector is needed outside of the MS and US
contact IS for assistance.
NOTE E: Do not overbook a data projector for any one
wing or room or building; only the first dated entry can be
honored unless arrangements have been made with the involved
parties.
TIP 1: On the older Eiki data projectors make sure you
change the display resolution to 800 x 600 for a better
quality picture in the “display setting” area in Windows,
located in the “Control Panel” from the “Start Menu”.
TIP 2: Only calendar entries (or prior arrangement with IS)
will get assistance and priority should you need it to
insure fairness among to those in our school community
following protocol.
